About the product

Every stamp under control — from receiving to shipment

ExciseTrace WMS is a warehouse system for importers and distributors of excise goods. The producer marks goods in ExciseTrace, and WMS carries the same stamps further: through receiving, storage and shipment.

  • Stock matches down to the stamp

The system knows where every bottle, case and pallet is, and checks itself every night.

  • Documents for the state prepare themselves

What takes an accountant hours today becomes a signing queue.

  • Nothing gets lost or sent twice

Every action is logged, every scan counts exactly once, every document goes to the state once.

The problem

An excise goods warehouse — is not just a warehouse

The state sees every stamp. If your records don't match the state's, it's your problem, not theirs. An ordinary warehouse system counts cases, not stamps.

  • Mismatches with the state

Your records count cases; the state counts every stamp.

  • Manual documents

Today that's hours of an accountant's work.

  • Deadlines

One working day to report a discrepancy.

  • Stocktakes take days

    Recounting the warehouse takes days.

Discrepancy deadline

1 working day to report a discrepancy after it is found

A shortage, surplus, damage or wrong goods at receiving — and the clock is already ticking. Done by hand, this deadline is easy to miss.

Law of Ukraine No. 3817-IX, art. 60, part 1: “no later than the next working day after the day such a fact is discovered”.

How it works

One system from the receiving gate to shipment

The producer marks goods at the plant, and we carry the same stamps through your warehouse.

  1. Receive goodsstorekeeper
  2. Stock down to the stampautomatic
  3. Stocktake4 steps
  4. Shipment
  5. Documents for the state
  6. Excel reportsaccountant

The heart of the product: stock down to every stamp.

Features

01Receive goods

Receiving is ready before the truck arrives

  1. The supplier sends the accompanying document — the system creates the expected receipt itself.
  2. The storekeeper scans with a handheld and sees live what matches and what does not.
  3. A repeated scan never counts twice.

Also: sign or reject the receipt right from this screen, and documents from the state arrive automatically.

Receiving and acceptance screen

02Stock down to the stamp

Any stamp is visible in a second

“Where is this bottle?” — answered with one scan. The stamp card shows:

  1. its status;
  2. which case and pallet it is in;
  3. its full movement history.

It answers any question from an inspector or a buyer.

03Stock down to the stamp

A pallet of 2,000 bottles — one record

  1. The system knows what is inside every case and pallet.
  2. So a pallet moves as one unit: 2,000 bottles → 1 scan.
  3. Breaking a pallet and building a new one is repacking, and it is tracked too.

Also: full repacking in the new interface.

04Stocktake

Stock reconciles every day — automatically

  1. Stock is visible by warehouse, zone and bin.
  2. Every movement goes into a log that cannot be rewritten, and every night the system reconciles the log with stock.
  3. A stocktake takes four steps: pick an area, count blind, see discrepancies, confirm with a manager.

“Blind” means the storekeeper does not see the expected number and cannot “adjust” the result.

05Discrepancies

No deadline slips by

  1. Every discrepancy found — shortage, surplus, damage, wrong goods — goes into the register.
  2. Each discrepancy has its own deadline and countdown.
  3. You see what is due today.

Also: the discrepancy notice itself and its signature — in the system.

06Shipment · documents

Shipment, document and signature in one flow

  1. When a shipment is closed, the document for the state prepares itself and waits for signing.
  2. The accountant signs several documents at once with a qualified e-signature. No document goes to the state twice.
  3. Returns — expiry, defects, unsold goods — follow the same path.
  1. Order
  2. Reserve
  3. Picking
  4. Shipment
  5. Accompanying document queued for signing

For accountants and managers

A report in a minute

Four key reports prepare themselves and export to Excel:

  1. Stock on a date
  2. Movement log
  3. Register of accompanying documents
  4. Discrepancies

An accountant who manages several companies switches between them in one login.

Security

Data and signatures protected

  • Each company’s data is isolated

No company sees another’s data — verified by load testing.

  • Signing keys are encrypted

E-signature keys are stored encrypted, and every signature is logged.

  • Every action is logged

Six roles, from owner to viewer. A new employee gets no access until an administrator approves them.

  • Daily backups

Backups run every night and are kept for 30 days.

Questions

Frequently asked questions

Who is it for?

Importers and distributors of excise goods who receive, store and ship marked goods. For producers we offer ExciseTrace.

Does it suit a logistics operator (goods of several owners in one warehouse)?

Not yet. The system is built for importers and distributors: one warehouse — one owner of the goods.

Do you send documents to the state yourselves?

Yes: documents prepare themselves, and your authorised person signs them.

Where is our data stored?

In secure data centres in the EU, with nightly backups.

Who can sign documents?

Only people with the “Signer” role, usually the accountant. Every signature is logged.

What if the same case is scanned twice?

It counts once. Same with documents: none goes to the state twice.

Does the handheld work offline?

No. The handheld needs an internet connection.

How long does launch take?

Our team connects your company; there is no self-service sign-up.

How is it related to ExciseTrace?

One product family: ExciseTrace marks goods at the plant, WMS manages them in the warehouse. There is no direct data exchange between them yet.

Next step

We'll show it on your data.

We offer a demo on your real incoming document and a pilot in one warehouse. How long does one stocktake take you today?
